6 Project Management Tips You Can
Use to Organize Your Life

One of the most important skills of a project manager is the ability to be meticulously organized. Effectively managing and tracking projects, tasks and people are vital to being successful in the project management industry.

It’s can be much easier for project managers to apply these skills to their individual lives than it is for others, but that doesn’t mean your average joe can’t improve the quality of their life with a little help. Here are a few tips and tricks that you can use to apply project management principles to your own life, to obtain a more organised life for you and your family.

A lot of the suggestions we have listed below are based on popular PRINCE2 principles. PRINCE2 is a tried-and-tested project management methodology used in business both big and small around the world to help ensure the success of projects.

Take one step at a time

Whether your attempting to implement a new software system or doing a bit of yard work, every large task should be broken down into smaller jobs.

Don't attempt to juggle lots of tasks in your head. Break large jobs into smaller, bite-sized chunks and tackle each systemically.

Always remember that jobs always have dependencies: you can plant a tree without buying it first. List out all the jobs you have to accomplish that day and keep these dependences in mind. For example, if you have to travel, think about anything else you might be able achieve when you arrive at your destination, or what you can do to pass the time constructively on the way there.

Set reminders

No one has a flawless memory and some task are easier to remember than others. Project managers are often responsible for juggling several duties at the same time. Rather than risk forgetting a key task for the day or essential bit of information, they rely on software and tools to ensure they don’t miss a thing.

Outside the work environment, using reminders helps prevent us from forgetting to do things, go places and make calls.

There are a wide variety of tools you can use to keep track of your daily, weekly and monthly jobs. From apps on your mobile phone and tablet, to desktop applications and internet browser extensions. Mobile apps are probably the most popular technique because they can sync between several devices, so you can always have easy access to your schedules and plans.

Organizing teams

A big part of being a project manager focusing teams on achieving a single goal. Completing a project involves input from dozens of individuals, each with their own unique talents. Being able to get updates from group members, delegating tasks and providing incentive to work hard, are crucial for any jobs’ success.

Being able to keep everybody on track with their day-to-day chores can be accomplished in several ways. You can post a whiteboard or task chart on the refrigerator, listing everyone's name and chores, which can be marked off as they are completed, for example.

No matter which approach works well for your family, keeping everyone on track with chores and jobs helps promote a more organized, healthy lifestyle. Don’t forget that a little encouragement can go a long way and always reward a job well done.

Other Helpful Tips

Make the most of lists so absolutely nothing is forgotten. Whether you use paper and pen or an app on your phone, making lists can help better organize you life, giving you more time to focus on those things that really matter.

Use email flags for easy spotting. If you get an email from your children's school, or one informing you of a due date, or one about a birthday party, mark them with a flag so that they stand apart.

If your inbox is flooded with newsletters, advertisements, and spam, consider using an email app that integrates reminders for emails to pop back up once again at a time you set.

Learn online

Strange as it may sound, a little more in-depth research into project management principles can not only help improve your personal life but might also make you more effective in your day job.
